Our Process

Before our first meeting
We will provide you with lists and questionnaires to assist you in gathering much of the information we’ll need.  It is an extensive process, but critical in providing us with detailed information in order to fully understand your financial picture.  If you’re unsure if something applies or you have a question, please let us know.  We’re here to help.

At least one week prior to our first meeting, we ask that you forward all of your documents in one package.  This helps us to better track any missing documents, and also serves to make the process more efficient.

Once the package is received at our office, we perform a thorough review of all your information and prepare for our first meeting.  Receiving the information in advance of our visit allows us to better focus the meeting towards your goals and concerns within the context of the financial information that is unique to you.

First Meeting – Financial Planning
First meetings normally take between 1½ and 2 hours.  We use this time to go over the package of information you provided and clarify any questions we had upon initial review.  We have a detailed discussion about your goals, concerns and priorities, as well as answer any questions you may have.

Between the First and Second Meeting
During this period, a spreadsheet and preliminary plan are prepared that will be covered in detail during the second meeting.  We often contact you between the first and second meetings with additional questions or with requests for additional information as we proceed with the analytical process.  

Second Meeting – Financial Planning
Normally, our second visit occurs approximately two weeks after the first and typically lasts 1½ to 2 hours.  In this step we are clarifying goals and verifying the assumptions and data we will use to finalize your plan.  We review the preliminary results of our analysis using Monte Carlo simulations and other methods that facilitate our discussions surrounding the likely success of your goals. We also cover a ‘first-things-first’ list of action items we recommend you take to help you accomplish your prioritized goals.  We may also discuss alternate scenarios that you may want to consider or that you’ve expressed an interest in, such as the results of retiring at various ages, moving to a new home or starting a business.  By the end of the meeting we have explored a number of various scenarios and agreed upon a single course to be used in the implementation process.

The Financial Plan
After our second meeting, we revise the data in the preliminary plan to reflect these agreed upon changes and prepare a report with our final recommendations.  We forward your final plan which contains all the information previously discussed and outlines the steps necessary to proceed with implemention.

Third Meeting – Investment Review
Our third meeting usually follows approximately one week after the second and typically lasts 2 hours.  This visit focuses on your Investment Policy Statement.  This is where we develop a detailed plan for specific investments and how they work in accordance with the financial plan.  We perform an extensive analysis of your current holdings, review any recommendations for change, and discuss the mechanics of how we manage investments.  We discuss the various aspects of risk, review the correlation between risk and return specific to your portfolio, and examine what is needed from the investments to fall in line with the assumptions contained within the financial plan.  We talk about the state of the current economy and any anticipated changes.  We review specific recommendations and how they may perform over various stages of the normal market cycle.  We examine each of the individual positions and the portfolio as a whole. Click here for a sample Investment Policy Statement (IPS)

Implementation
We begin the implementation process following our third meeting.  This involves putting into place the numerous recommendations outlined within the Financial Plan, broken down by priority. 

Financial Planning & Estate Planning:  We will review our proposed ‘first-things-first’ list of action items and give details on how to proceed.  Any recommendations which include consultation with other professionals (tax, estate planning attorney, etc.) are then coordinated to help facilitate the implementation process.  Naturally, every client and every plan is unique; so we remain flexible so that the priority is easily changed if your needs change. 

Investment Management:  We will prepare all of the paperwork necessary to establish and fund new accounts.  We handle the transfer of assets between custodians and provide you access and instructions to our website.  Once the assets have been transferred, we will contact you to let you know that the implementation of the proposed portfolio is underway.  We will discuss any adjustments to the original allocation or assumptions due to changes in market conditions, investments or other outside variables that have shifted since our last meeting.  We'll schedule a follow up meeting (usually two - three weeks later) to review your first statement and to ensure that all assets have transferred.

Ongoing
The Financial Plan is an ongoing and ever changing process.  The plan must be monitored and reviewed periodically so that adjustments can be made to assure that it continues to move you toward your financial goals.
